Email: Customize pre-templated emails in SwimOffice

Admin Level - Varies depending on where the email is

Many templated emails are in SwimOffice including:

  1. Event Signup Invitation
  2. Login Instructions (w/ password reset)
  3. Electronic Payment Intro
  4. OnDeck Invite
  5. Invoice and Billing Summary*
  6. Job Invitation*
  7. Registration Receipts, Lesson Receipts*

*No preview available.

You cannot edit these templates to use as the default due to the custom information they incorporate from the module they're in.

For those you can preview, you can customize them by copying the template and then pasting it into an email and editing the text.

Event Signup Invitation

  1. Go to your Events page.
    1. Chameleon users: Click your Events tab in the top menu or More... on the home page Events section.
    2. New CMS users: In the side menu click Events & Competition > Team Events.
  2. Click Attend/Decline or Edit Commitment button.
  3. Click Committed Athletes tab.
  4. Click the blue Preview link to the right of Email Event Signup Invitation button.
  5. Highlight the text and copy it.

Other templates

  1. Go to Account Admin.
    1. Chameleon users: In the side menu click Team Admin > Account/Member Admin.
    2. New CMS users: In the side menu click Team Tools > Accounts.
  2. Click Communicate and select any option below Email Preview.
  3. Highlight the text and copy it.

Once you have copied the text, paste it into an email and customize. You may even want to paste the text into some kind of text editor or word processor so you can save it and reuse it over and over. Here is one place you can email what you copied.

  1. Go to Account Admin.
    1. Chameleon users: In the side menu click Team Admin > Account/Member Admin.
    2. New CMS users: In the side menu click Team Tools > Accounts.
  2. Set any desired filters using Customize Filters.
  3. Select one, many or all recipients.
  4. Click Communicate > Send New Email.
  5. Enter a subject.
  6. Paste the content you copied from one of the previews above, then customize as desired.
  7. Click Send.
